1. Information We Collect

When you interact with Pollen AI (accessible at https://trypollenai.com and our future mobile applications), we collect:

• Account & Waitlist Information: Your email address and registration preferences provided when joining the waitlist or requesting early access.
• Shared Content via Manual Link Paste: Public URLs from Instagram Reels, TikTok, and YouTube Shorts that you manually copy and paste into the application. (Native device Share Sheet integration is planned for future releases).
• Images, Camera Captures, Web Pages & X Posts: Images you upload, photos captured via device camera, links to public web pages, and links to X (formerly Twitter) posts that you choose to store in your notes.
• In-App Chat Interactions: Queries, prompts, and contextual conversations you conduct with your notes within the in-app chat feature.
• Generated Structured Notes: Structured summaries, ingredient checklists, code snippets, to-do items, and reminders generated exclusively for your private library.
• Technical Diagnostics: Anonymized diagnostic logs, browser/device user agent, crash reports, and performance telemetry necessary to maintain service reliability.

2. How Content is Processed (Gemini via Vertex AI)

To transform media links, images, and text into structured, actionable notes:

• Pollen AI utilizes an analysis pipeline built on Google Gemini models via Google Vertex AI. Gemini models analyze multimodal inputs (spoken audio, visual keyframes, OCR text, and captions) to extract step-by-step instructions, ingredients, or key takeaways.
• Backend computation and coordination are handled using containerized services hosted on Google Cloud Run.
• Videos are deleted after processing completes: Temporary video frame buffers and downloaded media streams are deleted from processing workers once inference and note extraction have finished. We do not maintain a permanent video archive.

3. Service Providers & Third Parties

We work with a minimal set of established infrastructure partners to deliver the service:

• Google Cloud Platform & Google Vertex AI: Provides model inference (Gemini models), application hosting (Cloud Run), and secure database storage.
• Third-Party Video Extraction Provider: Used strictly as a technical fallback to retrieve publicly available metadata when standard public extraction is insufficient. Media passed to this provider is used solely to obtain public video streams and is not retained for profiling.
• Cloudflare: Provides Content Delivery Network (CDN) caching, SSL/TLS encryption, and static hosting for trypollenai.com via Cloudflare Pages.

4. Data Storage, Security & International Principles

All data in transit is encrypted using modern TLS (Transport Layer Security), and data at rest is protected with AES-256 standard encryption.

We design our practices in line with India's Digital Personal Data Protection Act (DPDP Act) and GDPR principles for global users. We process your data lawfully, transparently, and strictly for the purpose of delivering your requested note-taking features.

5. Children's Privacy (13+)

Pollen AI is not directed to children under the age of 13. We do not knowingly collect or solicit personal information from anyone under the age of 13. If we learn that we have inadvertently gathered personal data from a child under 13 without verified parental consent, we will promptly delete that information from our records.

6. Data Retention, Export & Deletion

You retain full control over your notes. You may request an export of your saved notes or ask for complete deletion of your account and associated records at any time. Account deletion requests are permanently fulfilled within 14 business days.
